INSTRUCTIONS for Invited Guest Speakers

BEFORE your arrival:
  • Make sure that you make contact with the appropriate secretary in the department. This will be Shirley, Sue, or Misty.
  • Give them your contact information as well as your travel plans. They can then make arrangements for your time in town. (This would include dinner reservations, hotel reservations, reserving a room for your presentation, temporary office, etc.)
  • Download and fill out the appropriate forms for your travel. The forms are listed below. If you have any questions about what you should fill out, contact Shirley, Sue, or Misty.
DURING your visit:
  • Obtain a Visitor's Folder from Misty in Room 236. This should have some general information for you that will help you during your stay.
  • SAVE YOUR RECEIPTS for any meals or travel expenses (taxi, shuttle, parking permits...)
  • Turn in any forms and receipts to the appropriate person. Most of the time this will be Shirley, Sue, or Misty.
  • Make sure you leave your address with that person as well - the one that you want any reimbursements sent to.
AFTER your visit:
  • If you have any receipts that you received during your return trip to home, mail these to the ATTN: of the appropriate person at:

  • Email a follow up after 2 weeks to make sure that your reimbursement is being processed.
***PLEASE NOTE!!! Kent State University requires the ORIGINAL receipt in order to process reimbursements. If this is a problem, contact the appropriate secretary to work something out.
 

KSU Rules and Regulations for paying visitors

Visitor is a U.S. citizen:
  1. Can be paid an honorarium.
  2. Can be reimbursed for expenses and per diem. (Original receipts required)
  3. Must have a Social Security #
  4. Must complete an Ohio New Hire Reporting Form

 

Visitor is not a U.S. citizen and has a (B1) visa, - tourist visa:
  1. Cannot be paid an honorarium.
  2. Can be reimbursed for expenses and per diem. (Original receipts required)
  3. Must have an ITEM number (Tax identification number or Social Security #)
  4. Regarding Country tax treaties: 
    a) Country with tax treaty, and if that tax treaty allows an exemption for personnel services, only the City tax is withheld.
    b) Country with no tax treaty, then the reimbursement, per diem and other expenses will be taxed at 30%.
  5. Visitor must complete form 8233 giving his/her full name, permanent address, signature, and supply the department with copies of his/her visa and passport.
  6. Must complete an Ohio New Hire Reporting Form

What is a B1 Visa?
